3.5 Creating Predefined Reports


EMS WR offers four predefined reports:

You can produce these reports in standard formats and download them as PDF (Adobe Portable Document Format) files to your computer for review and printing. In contrast to the reports you can create using the data results tool, you cannot use reports in PDF to create graphs and carry out customized statistical analysis.

Business Needs

Health authority employees will be the most frequent users of the predefined reports. For example, health authority staff might use the DW Bacteriological Report tool to monitor bacteria counts at EMS locations within their area of responsibility. However, ministry staff might also find such reports useful when they do not need the more comprehensive customization of the report that is available through the data results tool.

The basic procedure for using the predefined reports has four basic steps. To create each report, you will:

1. Click on the report's button on the Main Menu.

2. Enter report criteria into the Criteria page.

3. Generate the report.

4. Download the report to your computer.

3.5.1 Detailed results report

The Detailed Results Report allows EMS WR users to create a predefined report that displays detailed analytical results and a statistical summary for each parameter in the report. For example, you might use it to summarize sampling results for the year.

Business Needs

This report is most useful for results on a single monitoring site or a small group of sites. Reporting on a high number of monitoring sites can result in a large report. In this case, producing a custom report through the Data Results tool might be more appropriate.

Basic Procedure

To create a detailed results report:

1. From the Main Menu, click on the Detailed Results Report button under the Reports heading.

2. Enter information into the two mandatory fields:

  • Collection Start Date
  • Collection End Date

3. If desired, enter information into the other criteria fields to narrow the scope of your search.

4. If desired, change Order By from Date (default) to Sample State by removing the checkmark from Date and adding a checkmark to Sample State.

Tip: It is unlikely that you will want to change the Order By checkboxes from the default (Date). However, if you want more detail about using these checkboxes to order report information, see the Order By table entries for the Detailed Results Report - Criteria page in the Screen-by-Screen Reference.

5. Click the Next button on the lower right-hand corner of the page. You might have to scroll down to do this.

6. Note the name that EMS WR has given to your report.

  • The name will include your username, an underscore, and a number (e.g. jsmith_2111).
    ! Caution: if you are creating several predefined reports during the same EMS WR session, they will not necessarily be numbered sequentially. This is not an error.

7. Click the Generate Report button.

  • After a moment, the page reloads (wait for Done to appear in the browser status bar).
  • If you want to create another report, click the Criteria button and return to step 2. Otherwise, proceed to the next step.

8. Click the Main Menu button.

9. Click the List of Generated Reports button.

10. Find the report you want to download and look at the Status column.

  • If the report's status is Ready, proceed to step 11.
  • If the report's status is Pending, you can try periodically clicking your browser's Refresh page (or Reload page) button to see whether the report is ready.
    ! Caution: reports can take up to several hours to create.

11. Right-click the view link to the right of the report's row.

  • The File Download dialogue box opens.
    Tip: if you have Adobe Acrobat Reader, you can left-click on the View link and the report will open within your Internet browser. You can then save the document to your computer using Adobe Acrobat Reader's Save function. However, if you are unfamiliar with Adobe Acrobat Reader, follow steps 11 through 13 to save the report to your computer.

12. Click Save.

  • The Save As dialogue box opens.

13. Navigate to the location where you want to save the file. Type in a file name and click Save.

  • The file is saved to your computer in PDF.

14. Use Adobe Acrobat Reader to open the document for viewing and printing.

3.5.2 Historical statistics report

The Historical Statistics Report allows EMS WR users to create a predefined report that provides a detailed historical statistical summary for each parameter in the report. For example, you might use it to summarize sampling results for the year.

Business Needs

This report is most useful for results on a single monitoring site or a small group of sites. Reporting on a high number of monitoring sites can result in a large report.

Basic Procedure

To create a Detailed Results report:

1. From the Main Menu, click the historical statistics report button under the Reports heading.

2. Enter information into the two mandatory fields:

  • Collection Start Date
  • Collection End Date

3. If desired, enter information into the other criteria fields to narrow the scope of your search.

4. If desired, change Order By from:

  • Office (default) to Location Type by removing the checkmark from Office and adding a checkmark to Location Type
  • Parameter (default) to Sample State by removing the checkmark from Parameter and adding a checkmark to Sample State
    Tip: it is unlikely that you will want to change the Order By checkboxes from their defaults (Office and Parameter). However, if you want more detail about using these checkboxes to order report information, see the Order By table entries for the Historical Statistics Report - Criteria page in the Screen-by-Screen Reference.

5. Click the Next button on the lower right-hand corner of the page. You might have to scroll down to do this.

6. Note the name that EMS WR has given to your report.

  • The name will include your username, an underscore, and a number (e.g. jsmith_2111).
! Caution: if you are creating several predefined reports during the same EMS WR session, they will not necessarily be numbered sequentially. This is not an error.

7. Click the Generate Report button.

  • After a moment, the page reloads (wait for Done to appear in the browser status bar).
  • If you want to create another report, click the Criteria button and return to step 2. Otherwise, proceed to the next step.

8. Click the Main Menu button.

9. Click the List of Generated Reports button.

10. Find the report you want to download and look at the Status column.

  • If the report's status is Ready, proceed to step 11.
  • If the report's status is Pending, you can try periodically clicking your browser's Refresh page (or Reload Page) button to see whether the report is ready.

3.5.3 DW (Drinking water) bacteriological report

The DW (Drinking Water) Bacteriological Report allows EMS WR users to create a predefined report that summarizes bacteriological results for samples from drinking water sources. For example, you might use it to summarize sampling results for the year.

This report is most useful for results on a single monitoring site or a small group of sites. Reporting on a high number of monitoring sites can result in a large report.

3.5.4 Pool/Hot Tub Report

The Pool/Hot Tub Report allows EMS WR users to create a predefined report of bacteriological data for pools and hot tubs. For example, you might use it to summarize sampling results for the year.

Business Needs

This report is most useful for results on a single monitoring site or a small group of sites. Reporting on a high number of monitoring sites can result in a large report.

Basic Procedure

To create a Detailed Results Report:

1. From the Main Menu, click on the Pool/Hot Tub Report button under the Reports heading.

2. Enter information into the three mandatory fields:

  • Health Region (use the drop-down list to select the appropriate region)
  • Time Period Start Date
  • Time Period End Date

3. If desired, enter information into the other criteria fields to narrow the scope of your search.

4. Click the next button on the lower right-hand corner of the page. You might have to scroll down to do this.

5. Note the name that EMS WR has given to your report.
