Help This form permits you to edit surveyor names so that SPI Import can recognize them and insert them into the SPI database.

There are three columns of names on the form. Your goal is to get the SPI Names column (right-most column) filled with surveyor names that represent the names listed in the Excel Names column (left-most column). When the SPI Names column is filled with names you can be assured that all surveyor information is adequately loaded into SPI.

Excel Template Names The left-most column is titled Excel Template Names. Often a surveyor name is spelled or formatted in differing ways even though it refers to the same surveyor. This column contains a list of all those different spellings and formats. You need to decide which spelling is correct and then enter that spelling into the Standard Name column using a format that is recognized by SPI Import. There are several buttons that will help you in this process.

Sort Ascending Sorts the names in ascending order. The default sort order is descending. Having the names sorted in descending order is advantageous because doing so causes the most complete names to be at the top of the list.

Copy name to standard column This button will copy the name from the Excel Names column to the Standard column. Use this button if the name in the Excel Names column is complete or nearly complete. After the name is in the Standard column, you can edit it to make it complete.

Copy all Template Names to Standard Format Instead of copying individual names into the Standard column, you can copy all the names at once into the Standard column. Generally it is only valuble to use this option if the names in the Excel Names column are already correctly spelled.

Standard Format Column You can edit and update this column of names. Your goal is to populate every row with a name in a format that is recognized by SPI Import. SPI Import recognizes two format:

Surname, FirstName SecondName and
FirstName SecondName Surname

SPI requires that every surveyor has a first name and a surname; a second name is optional.

If you correctly edit and format a name, and the name is already entered into SPI, then the SPI Name column will automatically be populated with the appropriate name. If the name is not yet in SPI, then the SPI Name column will not be automatically populated until you click the button labelled Automatically Insert Names into SPI.

Copy name to row below This button will copy the name into the row below. This is convenient to use when there are several permuations of one Excel name. After you finish editting the top-most name you can copy the name down into the row below.

Automatically Insert Names into SPI After you have completed all the names in the Standard column and ensured that the same names are all spelled exactly the same, you can click on this button to have the names automatically entered into SPI.

SPI Names Your ultimate goal is to get properly spelled and formatted names to show in this column. This column will automatically display a name if SPI Import recognizes a name in the Standard column, and if that name is already in SPI. The pick-list in this column contains a list of all the names that are already in SPI.

Bring Unmapped Names to Top Clicking this button will bring all the un-mapped names to the top of the SPI Names column so that you can easily see which names need to be mapped.
